Event Request Authorization
Now you can get more from Asset4000 and Inventory4000 with Real Asset Management International's (RAMI) latest product
enhancement enabling event request authorization and allowing automation of a multi-user approval process. Users can create a transfer
or disposal request, which is then sent to a pre-determined supervisor for approval. The asset is not recorded as transferred or
disposed until both the request and approval have been authorized in the system.
A well planned transfer and disposal process plays a key role in effective asset management, with functionality including email
notification, flexible approval routing and system-monitored timers enabling a completely automated process.
Whether your organization already has formal rules in place that require a degree of manual intervention or no process at all, RAMI's
new event request authorization functionality will help to streamline processes and afford time and cost savings, while ensuring the
accuracy and accountability of the asset register.
Highlights and benefits:
- Automating the process around transfer & disposal events will realize time and resource efficiencies. Managing, processing and
storing paper based transfer forms is time and labor intensive.
- Organizations lacking proper transfer & disposal guidelines will be able to quickly and easily establish a professional request
authorization procedure which will help keep in compliance with GAAP, SOX and best practice methodologies.
- The annual reconciliation of the fixed asset register will be far simpler with the utilization of event request authorization allowing
transfers and disposals to be properly authorized and recorded throughout the year.
- An accurate and up to date asset register avoids the risk of over or under insuring an asset base, guaranteeing the correct insurance
coverage.
- Having a true picture of the asset base allows businesses to pay the correct level of property taxes. Overpayment of taxes may
occur when a disposal is not recorded in the fixed asset register.
- Sound internal controls and the provision of a full audit trail for each asset will help to prevent unaccountable asset losses.
- The flexibility to build in levels of authorization into the event process after the initial request for disposal or transfer, enables
stricter control and accountability.
- The event request form has a free-text field available to include reasons why the proposed event was authorized or rejected. This
field may be set as mandatory or optional, depending on preference.
- Users will have the ability to transfer or dispose of a single asset or apply the transfer/disposal to as many assets as selected. By
creating mass event requests, valuable time can be saved that would be otherwise spent creating individual requests.
- Organizations tracking expensed items via the Inventory4000 module can use the event request functionality as an issue and receipt
confirmation tool.
- A robust reporting tool allows users to select data according to type, location, etc.
