Capital Project Control Software – Project4000
Real Asset Management International’s (RAMI) capital project control software allows users to plan expenditure for a project of any size, from purchasing a computer to building and furnishing a new office. Project4000 enables ‘Commitment’ (orders raised and internal charges) and ‘Spend’ (journals and invoices received) to be recorded against budgets for both capital and expense projects. Users can maintain a detailed Work-in-Progress (WIP) or Construction-in-Progress (CIP) asset register from which they can then transfer capitalized items across to the fixed asset register. Project4000 captures all aspects of expenditure relating to each stage of a project.

Reporting & Forecasting
Project4000’s powerful report engine provides an array of standard reporting structures and a comprehensive range of user-defined templates. The key reporting functionality within Project4000 places a wealth of information at your fingertips, including current project status, current project expenditure and project commitment and spend by period or year. Monthly, quarterly and annual management reports can be produced at both the detail and summary levels.
With a single input screen common to all standard and customized reports, the report function is both familiar and simple to use. Project4000’s reporting tool enables users to select data according to a number of specifications including budget, project and department, which can later be printed as a header page for a full report.
Duplication of effort can be avoided by generating purchase orders directly from Project4000. Users can also utilize the system’s core forecasting functionality to calculate expenditure projections.
Output of reports can be quickly transformed from a summary into a detailed, professional analysis. Reports can be viewed on screen, sent to a printer, emailed or exported to business tools such as Microsoft Excel®.
Data Import Wizard
With RAMI’s Data Import Wizard, raw data (in a range of formats) can be directly imported into Project4000. This tool can be used to import new transactions, such as orders and invoices, or to update existing ones. The Data Import Wizard saves users a significant amount of time by eliminating the need to manually enter transactions into the system.

Budgets
Budgets are the primary level of Project4000’s hierarchical structure. Each budget automatically generates a unique identifying code, formulated to keep in line with your company standards. Each unique code presents a breakdown of the allocated, forecasted and actual expenditure for any predefined period. Values are automatically updated as transactions, such as purchase orders or invoices.
With up to 16 lines of analysis, Project4000 can record a high-level of detail against each budget, enhancing the module’s reporting and forecasting capacity and allowing reports to be sequenced or restricted by user code selection. As transactions are entered into the system, a running total of commitment and spend can also be viewed against top-level budget values.
Project4000 enables users to maintain complete control of commitment and spend and provides the flexibility to manage annual and rolling budgets and ad hoc project or budget revisions.
Projects
Projects are the secondary level of financial allocation. Projects consist of a number of items linked to different budgets and can be viewed in entirety by clicking on the desired item in a list. Users can then instantly access and update all associated details.
Budgets for specific projects can be sub-divided to allocate and manage details for planned expenditure.
Integrated Commitment & Spend
At the heart of any project are the details of the costs that have contributed to it. These costs should be reviewed and controlled at every stage. Project4000 includes a range of transaction types that are used to record commitment and spend against projects and budgets. With the Data Import Wizard, financial details recorded against purchase orders, invoices, credit notes, journals and accruals are subject to automatic update to ensure key figures are always current.
With the ability to store numerous descriptions, multiple analysis codes and detailed financial information against each entry, Project4000 provides a fully comprehensive system in which transactions, including goods received, are directly linked with projects and budgets.
Automatic Asset Creation
Collating and analyzing any capital expenditure that has contributed to a project can be crucial to the budgeting and reporting process. Project4000 builds WIP or CIP, assets by accumulating capital spend in a WIP register, ensuring full traceability from the beginning to end of a project.
Individual transactions can be assigned to specific WIP assets or split across a number of items. This process can be decided upon at the time of entry.
Manual spend allocation is both quick and simple. Items can be added individually or in batches; an ‘undo’ function is available to delete items added in error. Upon completion, Project4000 gives the option to export WIP asset records to a file or transfer them directly to the fixed asset register. As assets are transferred, they automatically carry across all pertinent financial data such as budget, project and transaction details.
