Track4000: Easy to use fixed asset tracking software to assist asset management with handheld scanners for inventory control.

Fixed Asset Tracking Software

Track4000 from Real Asset Management International (RAMI) is a complete fixed asset tracking software that enables users to conduct comprehensive, cost-effective physical audits. Barcode labels, attached to fixed assets and inventory items, and handheld scanning devices are required to conduct the physical audit. The process is quick and easy; users simply download the fixed asset or inventory register to the fixed asset tracking system (stored on the handheld scanner), perform the physical audit, then upload the audit results back into the fixed asset or non-capitalized asset register. The interactive display on the handheld scanner is used throughout the audit process, providing users with the latest fixed asset tracking technology. Track4000 helps effectively manage various groups of dispersed assets, even those distributed globally, a process difficult to achieve using traditional, manual asset tracking methods.

ABC's of fixed asset tracking software

Reporting & Analysis

At the core of any physical audit is the production of the report itself. Upon loading the audit data into either Asset4000 or Inventory4000, a list of all results is produced, providing a preview of the details and suggested actions for each asset. By reviewing the details before updating the fixed asset or non-capitalized asset register, users become aware of all discrepancies. The printer that was scanned in the finance department may need to be moved over to the administration department so the suggested transfer event would then be processed.

Once all of the data has been updated, users can produce additional reports that cover all changes made to the asset register. Since further analysis may be required, reports can be sorted to reflect organizations’ requirements. Reports can be viewed on screen, sent to a printer, emailed or exported to business tools such as Microsoft Excel®.

Leading Edge Tracking Technology

Verifying the existence and location of each and every fixed asset and non-capitalized asset can be difficult and time consuming. As a result, physical audits are often thought of as tedious tasks and are carried out as infrequently as possible. Information in the fixed asset register can quickly become redundant and assets may eventually become under-maintained and under-utilized. Track4000 addresses these issues effortlessly.

The innovative barcode system component provides each fixed asset or inventory item with a unique digital identifier that enables even identical units to be catalogued individually. Track4000 eliminates the need for manual description checks – the barcodes allow auditors to access all information required to perform a full physical audit in just a fraction of the time. Automated fixed asset tracking software significantly decreases the probability of human error that is normally inherent in the auditing process.

Barcode Labels

Track4000 requires the use of barcode labels to be used in conjunction with a handheld scanner. RAMI can supply several options ranging in size and durability. Labels can be provided in various materials including vinyl, polyester and aluminum. Designs can include a color, logo, the actual barcode and additional text such as asset number or type.

Label makers are offered as an alternative to barcode labels. No ribbons, toners or ink cartridges are needed. Laser-sharp labels can be printed in seconds allowing for quality labels with images, custom text and barcodes. This small, portable, cost-effective option prints 55 labels per minute.

Additional Information

Remote Accessibility
Track4000 combines the functionality to email an appropriately formatted copy of the fixed asset or non-capitalized asset register to a remote PC with advanced security features incorporated to make you feel confident in doing so. The register can be downloaded to the scanner, providing a real-time copy of information for an immediate physical audit. From there, the user can simply login to the downloaded database and begin the audit. Additional built-in security ensures that each transaction is associated with the current user.

Automatic Event Generation
Track4000’s fully interactive scanning device alerts the auditor to any items missing, moved or disposed of, or items that do not yet exist in the asset register.

When a new item is barcoded and scanned, the auditor is able to enter its details on the handheld scanner, facilitating the process of recording it on the asset register after the data is uploaded from the scanner. The ability to add assets while auditing allows the scanner to be used as a data capture tool for new items. A new barcode label can be attached to the asset, scanned and the details added for later addition to the register.
